HubSpot to Salesforce migration: what breaks, and what it should cost.
Published guides put a HubSpot-to-Salesforce move at $30,000–100,000 with a partner and three to six months. Most of that is not the data: it is rebuilding the automations, reports and permissions that no migration tool carries over. Here is what actually happens, and a fixed price for the common case.
What transfers and what does not
| Part of your CRM | Transfers with a tool? | What it takes |
|---|---|---|
| Companies, contacts, deals, notes, emails | Mostly yes | Field mapping, de-duplication, owner mapping, deal stage mapping; attachments and email threads need a separate pass |
| Workflows and sequences | No | Re-built as Flows and Salesforce automation; this is usually the biggest line |
| Reports and dashboards | No | Rebuilt from a list of the ten that people actually open |
| Permissions and teams | No | Profiles, roles and sharing rules designed from scratch; HubSpot's model is flatter |
| Forms, landing pages, tracking | No | Web-to-Lead or Account Engagement, plus re-pointing every connected tool |
| Integrations (accounting, support desk, telephony) | No | Each connector re-pointed and re-tested |
Published 2026 prices
| Item | Published range |
|---|---|
| Data audit and clean-up | $3,000–25,000 |
| Migration execution | $5,000–50,000 |
| Full implementation budget with a partner | $30,000–100,000, 3–6 months |
| Managed admin support afterwards, if nobody owns the org | $2,500–9,000 a month |
| Typical overrun | Clean-up and customisation found mid-project push first-year cost 30–50% past the estimate |
Our fixed price
| Scope | Price (EUR, excl. VAT) | Timing |
|---|---|---|
| Migration for up to 50 users: mapping, de-duplication, history and attachments, rebuild of up to 10 automations and 10 reports, parallel run, cut-over, 30 days hypercare | from €6,500 | 3–5 weeks |
| Sales Cloud set-up if the org is new (pipeline, stages, validation, email and calendar, dashboards, training) | from €9,500 | 4–6 weeks, runs in parallel |
| Each integration re-pointed or rebuilt | from €7,500 | 3–5 weeks each |
| Support afterwards | €2,500 / month (30 h) or €4,500 / month (60 h) | monthly, 30-day notice |
How we run it
- Week 0: read access to HubSpot and a Salesforce sandbox; we list every property, workflow, report and integration and mark what is actually used.
- Week 1: field mapping and a de-duplication rule agreed in writing; a test load of 1,000 records you can click through.
- Weeks 2–3: full load, automation and report rebuild, integration re-pointing, user permissions.
- Week 4: parallel run with the sales team, fixes, cut-over on a Friday evening, HubSpot kept read-only for 90 days.
- After: 30 days of hypercare, then optional monthly support.
When not to migrate
- Under five sales users and no service team: HubSpot or Pipedrive will be cheaper for years.
- The reason is one missing report: that is a reporting fix, not a platform change.
- No owner for the org after go-live: budget support first, or the new system decays like the old one.
